- A sent or partially received purchase order
A goods receipt records deliveries against a purchase order. It does not create or post a vendor bill.
Record a delivery
- Open Purchases, then Purchase orders.
- Select the order number.
- Select Receive Goods.
- Enter Receipt Date.
- Enter the delivered quantity in Receive Now for each line received.
- Add Notes for the receipt or individual lines if needed.
- Select Create Goods Receipt.
Use zero for lines not included in this delivery. At least one line must have a quantity greater than zero. Receipt notes allow 2,000 characters; line notes allow 500.
If partial receipt is off, each line you receive must cover its full outstanding quantity. If over-receipt is off, you cannot enter more than the outstanding quantity. A displayed error leaves you on the form to correct the entry.
Review the result
You land on the saved goods receipt. Follow its order link to review received quantities and receipt history. The order becomes partially received, or received when fully delivered and automatic closing is on. With automatic closing off, a fully received order can still say partially received.
If more deliveries remain, record them before converting to a bill. An order marked billed does not offer Receive Goods, even if some ordered quantities remain outstanding.
Next, bill the received quantities.
Who can do this and what you need
The order must be sent or partially received. Only business owners can receive goods.
The business's purchase order settings control partial receipts, quantities above the order and automatic closing after full receipt.
