Delete or void a bill payment
Reverse a recorded vendor payment and recalculate the bills it was applied to.
- Who can do this
- Owners, or people with Delete payments made and View payments to vendors
- Where
- Purchases, then Payments made
- You'll need
- An existing payment; Nonprofit voiding also needs a reason, posting readiness and an open reversal date
On this page
WarningDeleting or voiding changes your books. It does not cancel a transfer or recover money from the vendor.
Correct a vendor payment from its detail page. Owners can do this. Other people need Delete payments made, plus View payments to vendors to open the payment.
Delete a payment in General
- Open Purchases, then Payments made.
- Select the payment number.
- Find Danger Zone.
- Select Delete Payment.
- Confirm the action.
QixCount reverses the payment's posted journal entry if one exists, removes its bill allocations, and recalculates the affected bill balances. The payment leaves the payment list. There is no restore action on the payment page.
Each affected bill returns to pending, partial or overdue, depending on what's still paid and its due date.
Void a payment in Nonprofit
- Open Purchases, then Payments made, and select the payment number.
- Enter Reason, up to 500 characters.
- Select Void Payment.
The payment remains in history. Its journal entries and coding assignments are reversed, active allocations are released, and affected bill balances are restored. Original amounts and coding remain available on the payment record.
Use the detail page for a Nonprofit void. The list's Delete action does not collect the required reason.
What happens next
review the affected bills and record a corrected payment if needed.
If reversal is blocked
A reversal posts on today's date. A closed or locked period can block it. Ask the person responsible for the books to review the message before repeating the action.
Good to know
Nonprofit uses that same action permission for its payment void form.
