Categorize and add a bank transaction
Choose a ledger category, review Nonprofit coding, and post a bank transaction.
- Who can do this
- Owners, or people with View reconciliations and Edit bank transactions
- Where
- Banking, then Bank feed
- You'll need
- A bank record and an active category account; posting needs a linked bank GL account and an open posting date
A category identifies the ledger account used for the other side of a bank posting. Assigning a category and posting the bank record are separate steps. You need View reconciliations and Edit bank transactions. Owners have both.
Categorize a record
- Open Banking, then Bank feed.
- Select the account tile.
- Open For Review.
- Find the record using its date, description, and amount.
- In Nonprofit, review Financial coding before choosing a category.
- Select the account from Select category....
The selector lists active expense, revenue, asset, and liability accounts. In Nonprofit, coding includes Fund, Program, Grant, Restriction, Net asset class, and Function. Archived selections must be reactivated before posting.
Add the record to the books
After categorizing, the current row shows Add. Select it before reloading or leaving the page to post the bank journal.
WarningAdd affects your books. Check for an existing invoice, bill, payment, or journal first. If the bank record represents an existing record, use matching rather than creating another posting.
The journal uses the bank account's linked ledger account and the chosen category. For a withdrawal or fee, it debits the category and credits the bank ledger account. For a deposit or interest, it debits the bank ledger account and credits the category.
What happens next
The posting links the bank record to its journal and marks it imported. If you categorized and reloaded before selecting Add, the record can already be under In QixCount without a journal. Check the transaction details and contact support before correcting it. Do not create a second bank record to recover the posting control.
Closed or locked posting periods, backdating limits, or incomplete Nonprofit setup can block the journal. A category and bank ledger mapping are required. Next, reconcile the account.
