Firm owners can combine eligible subscription invoices into one payment. Each business owner must approve firm billing separately from accountant access.

Create a consolidated invoice

  1. From the business list, select Accounting firms, select Open firm beside your firm, then select Consolidated billing.
  2. Select between one and 100 eligible invoices under Unpaid client invoices.
  3. Check that the invoices use one currency and review Selected total.
  4. Check the statement accepting responsibility for the selected amounts.
  5. Select Create consolidated invoice and review payment.

You land on the consolidated invoice’s payment page. Creating the invoice is not a completed payment. The invoice retains a breakdown with each original client, invoice, period, and amount.

Eligible invoices must be unpaid and available to pay, have current owner-approved firm billing, and have no payment already started. An invoice already included in a consolidation cannot be selected again. If none appear, ask the client owner to review their firm billing permission.

Review or cancel

Under Consolidated invoices, select View accepted client breakdown to inspect the original amounts. Use Review and pay when payment is available.

Select Cancel before payment starts to cancel an unpaid consolidation. Cancellation is available only before a payment has started and while the invoice is pending, sent, or failed. It voids the consolidation and releases the original invoices for individual payment again. A closed invoice or one with payment started needs support to resolve it.

What happens next

When payment is recorded successfully, QixCount applies it to the original client subscription invoices. Revoking a connection or changing billing permission does not undo an already accepted consolidation.

If the subscription period or terms change after a user-capacity change was accepted, its invoice can become unavailable for payment. Cancel the unpaid consolidation when permitted, ask the client to review a fresh quote, and regroup eligible invoices. The 30-minute quote deadline applies before acceptance. See user places.

Good to know

Paying invoices does not give the firm owner control of the client’s books or subscription, and no firm discount applies.
