On this page
The general ledger shows posted accounting entries for one account. Use it to trace an amount on another report. You need View financial reports permission, or owner access.
Choose the account and dates
- In General, open Reports. In Nonprofit, use Other reports under Nonprofit, Reports, or the shared Reports group when shown.
- Select General ledger.
- Select Account.
- Enter From Date if you want a starting date.
- Enter To Date if you want an ending date.
- Select Generate.
In General, the account list contains active accounts and inactive accounts with posted entries. Nonprofit lists active accounts. With both dates empty, the report includes all posted entries for the selected account. With dates entered, entries on both boundary dates are included.
Read the activity
| Label | Meaning |
|---|---|
| Opening Balance | Balance before the starting date; zero when there is no starting date. |
| Total Debits | Debits in the displayed date range. |
| Total Credits | Credits in the displayed date range. |
| Net Activity | Displayed debits minus displayed credits. |
| Closing Balance | Opening balance adjusted by the displayed entries. |
| Balance | Running balance after each entry. |
For asset and expense accounts, debits increase the running balance. For liability, equity and revenue accounts, credits increase it. This means Net Activity can have the opposite sign from the change in the running balance for those credit-based accounts.
Entries appear in date order, oldest first. Select an Entry # link to inspect its journal entry, or View Account for account details.
