Match a Stripe payment to an invoice
Review suggested invoice matches for a Stripe charge and understand how matching changes payment allocations.
- Who can do this
- Owners, or people with Edit bank transactions and View reconciliations
- Where
- Banking, then Stripe activity
- You'll need
- An imported Stripe charge and an eligible invoice; Nonprofit also needs a current receipt for that invoice’s customer
On this page
QixCount tries to match imported Stripe charges to invoices automatically. Review the match before relying on the invoice's paid balance.
Apply a suggested match
- Open Banking.
- Select Stripe activity.
- Select View on an unmatched charge.
- Choose an invoice under Manual Invoice Matching.
- Select Match.
Suggestions require a linked customer. QixCount shows up to five sent, viewed, partial or overdue invoices for that customer, each with a balance within one cent of the charge. If none qualify, it shows No matching invoices found. This screen does not offer a search across every invoice.
What happens next
Matching links the Stripe transaction to the invoice. If a payment record exists, it applies payment money up to the invoice's remaining balance.
In General, matching replaces the payment's existing allocations and recalculates every previous invoice as well as the new one. Unmatch Invoice removes allocations and recalculates each affected invoice's balance and status. Review those invoices before requesting more money. Unmatching keeps the payment and its posted journal.
In Nonprofit, matching requires the original imported payment, the same invoice customer and a current payment. Existing allocations to a different invoice block the change. Unmatch Invoice is blocked to preserve payment history; use the payment's void workflow to correct an allocation.
For payment details and corrections, see Record a payment. For other transaction actions, return to Review Stripe activity.
Good to know
Manual matching needs Edit bank transactions access; opening activity also needs View reconciliations access. Owners have both.
Understand automatic matches
QixCount first checks the payment reference and invoice information carried with the Stripe payment. If those do not produce a match, it looks for an invoice for the same customer with a balance within one cent of the charge. For that last method, it chooses the oldest eligible invoice.
Customer matching uses the saved Stripe customer reference or customer email. A charge that does not match a customer can create a new customer record. Review the customer as well as the amount.
