Prepare records from another system or spreadsheet
Turn your existing lists and opening records into separate supported CSV files.
- Who can do this
- People with source records and the permissions for the chosen QixCount import type
- You'll need
- Access to the source exports; the chosen import permission to download a QixCount template
You can prepare QixCount files from another accounting product or your own spreadsheets.
Build separate working files
- Choose a transition date with the person reviewing your books.
- Save the old system's account list, contacts, unpaid documents and trial balance for that date.
- Download a QixCount template for each supported import type.
- Copy the matching fields into each template, with one record per row.
- Remove titles, blank report layouts, subtotal rows and total rows.
- Save each sheet separately as CSV.
Keep account codes and postal codes as text while preparing your spreadsheet if leading zeros matter. The importer reads their text values; it cannot restore zeros already removed by your spreadsheet.
Contacts use a required name plus optional contact details. Accounts need a code, name and supported type. General open documents need their number, matching contact, original date, due date and unpaid amount. Opening balances use account codes with separate debit and credit columns.
Check the format
Use US month/day/year or YYYY-MM-DD for dates. Amounts accept nonnegative dollars with up to two decimal places. A credit balance belongs in the credit column, not a negative debit amount. CSV files can have at most 5 MB and 100 columns. Lists allow 5,000 nonblank data rows, opening balances 2,000, and open invoice and bill files 500.
Do not upload an Excel workbook, PDF or complete company backup as an import file. If an export has extra columns, leave unsupported destinations unmapped. Text that looks like a spreadsheet formula can be refused even in an unused column.
What happens next
You need the permission for each import type. Import accounts first, then customers and vendors. General can continue with open invoices and bills, then remaining opening balances. Nonprofit stops after the list imports and needs support to plan its opening ledger.
Review what cannot be moved, then upload and review the CSV files.
Good to know
Use the old product's help to confirm its export options. Exporting a report does not mean every column in it is supported by QixCount.
