# Approve an action Qix proposes

Review a pending Qix action, confirm its details, and understand the resulting records.

Canonical: https://demo.qixcount.com/help/qix-ai/approve-an-action

Who can do this: The person who requested the action, with its required permissions

You'll need: Your own unexpired action in an active conversation, current action permissions and posting prerequisites

Qix prepares supported changes for you to confirm. Only the user who requested a pending action can approve it. Your required permissions are checked again when it runs.

## Review and decide

> [!WARNING]
> Approving a payment can post to your books. Payment proposals do not show the selected account or allocations. Use the [customer payment form](https://demo.qixcount.com/help/invoicing/record-a-payment) or [bill payment form](https://demo.qixcount.com/help/bills-and-vendors/record-a-bill-payment) to choose and check those details before recording money. Qix can make mistakes.

1. Read the proposed action under **Pending Actions**.
2. Check the contact, amount, or bill count shown in the summary. Ask Qix for missing details before continuing.
3. Select **Approve** only when the proposal is complete and correct.
4. Read the completion or failure message.
5. Open the resulting record to verify the details.

Reopening its conversation restores pending actions that are still available.

Leave an incorrect or unclear proposal unapproved. Use the relevant record form instead, and check for an existing record before submitting a replacement.

## What happens next

An invoice or bill starts as a draft. A customer is created as active. A customer payment posts to your books and applies only the invoice allocations included in the proposal. It can leave some or all of the amount unapplied. A vendor payment posts immediately when no separate payment approval is required; otherwise it is submitted for that approval.

A batch creates one payment per vendor for its selected bills and posts immediately when no separate approval is required. Use individual bill payments when separate approval is required. If you already have a batch waiting for approval, contact support and review its payments before creating a replacement.

Pending actions expire after 24 hours by default. Check the records before asking for a fresh proposal after an expiry or failure. You can also select **Copy ID** and send `approve` followed by the copied ID. A short confirmation without an action ID prompts you to choose the specific action.

If your permissions or Nonprofit readiness changed, execution can be blocked even though preparation succeeded.
