# Record a full gift refund

Reverse a posted cash gift in the ledger while retaining the original receipt and acknowledgment history.

Canonical: https://demo.qixcount.com/help/nonprofit/refund-a-gift

Who can do this: Owners, or people with *View cash gifts* and *Refund cash gifts*

Where: Nonprofit, then Cash gifts

You'll need: A posted cash gift, reason and an open posting date; posting readiness and enough retained restricted balance for a restricted gift

Record the return of an entire posted cash gift in your books. You need **View cash gifts** and **Refund cash gifts**, plus approved mappings and an active Operating fund.

> [!WARNING]
> This posts a full reversal in your books. Arrange the actual return of money separately; this action does not transfer funds to the donor. A posted gift refund cannot be reversed. Recording money received again requires a separate new cash gift.

## Post the refund

1. Under **Nonprofit**, select **Cash gifts**.
2. Select the gift row to open its receipt.
3. Select **Record refund** to open the side panel.
4. Enter **Why is this being refunded?**, up to 5,000 characters.
5. Select **Record full refund**.
6. Check the refund notice on the receipt.

**View refund journal** opens the posted reversal when you also have **View journal entries** permission. A validation error reopens the refund panel with your reason.

## What happens next

The refund reverses the original accounts, amounts, and financial coding. It retains the original gift and links to the refund journal. There is no partial-refund amount field.

Refunded gifts are excluded from donor giving counts and totals. The gift keeps earlier acknowledgment versions for viewing and downloading, but offers no new letter, send action, or second refund action.

## Troubleshooting

A restricted gift needs enough remaining restricted balance. Existing releases may need a reviewed undo or correction before refunding. The reversal is normally dated today, so a closed or locked current period or another posting restriction can block it.

Repeating a completed refund reuses its existing posted reversal. Check the receipt for the refund notice before retrying an uncertain request.
