# Delete or void a payment

Correct a recorded customer payment using General deletion or Nonprofit voiding, and understand the effect on invoices.

Canonical: https://demo.qixcount.com/help/invoicing/delete-a-payment

Who can do this: Owners, or people with *View all payments* and *Delete payments received*

Where: Sales, then Payments received

You'll need: General: no posted refund; Nonprofit: an active receipt, a reason, and an open reversal date

> [!WARNING]
> This changes your books and the balances of invoices paid by this record. There is no undo control. It does not send money back to the customer or initiate a Stripe refund.

## Delete a General payment

A payment with a posted Stripe refund can't be deleted, because its refund journal depends on it.

1. Open **Payments received**.
2. Select the payment number.
3. Review **Applied to Invoices** and the payment amount.
4. Open **More actions**.
5. Select **Delete Payment**.
6. Review the confirmation dialog.
7. Select **Delete Payment** to confirm.

QixCount reverses the linked general ledger entry, removes the invoice allocations and recalculates their balances. The reversal is dated today. The deleted payment no longer appears in the active payment list.

## Void a Nonprofit payment

1. Open **Payments received**.
2. Select the payment number.
3. Open **More actions**.
4. Select **Void Payment**.
5. Enter **Reason**, up to 500 characters.
6. Select **Void Payment** to confirm.

Use the payment details page for this task. The list's **Delete** action does not collect the reason required for Nonprofit voiding.

Voiding reverses the payment's ledger entries, any allocation coding entries and linked active refund entries. It marks allocations void and recalculates the invoices. The payment stays available with its reason, original amounts and coding retained as history. Active allocated totals exclude it.

Deleting or voiding does not recall a receipt already emailed. A voided receipt can still be printed or downloaded with a VOID mark, but cannot be emailed again.

## What happens next

Deleting or voiding releases the payment's bank match. Check the bank record afterward; automatically matched records return for review, while reconciled records stay reconciled.

After General deletion, you return to the payment list. After Nonprofit voiding, you remain on the payment details.

In General, each affected invoice returns to sent, partial or overdue, depending on what's still paid and its due date.

Next, [record the correct payment](https://demo.qixcount.com/help/invoicing/record-a-payment).

## Troubleshooting

A closed or locked period can block the reversal. If the correction fails, review the error before trying again. Do not record a replacement until you confirm whether the original payment was corrected.

## Good to know

Use this workflow to correct a customer payment recorded in error. General deletes the payment from the active list. Nonprofit voids it and retains its history.

## Who can do this and what you need

Owners can delete or void payments. Staff need *View all payments* to open the payment and *Delete payments received* to perform the correction. An assigned firm accountant's standard access does not include *Delete payments received*.
