# Correct or void an expense

Edit an unsubmitted draft or retain a posted purchase with its accounting correction.

Canonical: https://demo.qixcount.com/help/bills-and-vendors/correct-an-expense

Who can do this: Owners, or staff with expense viewing and the permission for this action

Where: Expenses & bills, then Expenses

You'll need: Accounting enabled and expense access; recording also needs posting permission or an approval workflow

## Correct a draft

1. Open **Expenses & bills**, then **Expenses**.
2. Open the draft and select **Edit expense**.
3. Correct the payment details or category lines.
4. Select **Save draft**, **Record expense** or **Submit for approval**, as available.

A draft awaiting approval cannot be edited or deleted. Use the approval workflow to finish or cancel its review first. If another tab changed the draft, reload the current version before saving.

## Correct a posted expense

> [!WARNING]
> Voiding creates a reversing journal and retains the original purchase and receipts. It does not refund a payment.

1. Open the posted expense.
2. Select **Void expense**.
3. Enter **Reason** and confirm the correction.
4. Use **Copy to new draft** if you need a replacement purchase, then check its date, funding and categories before recording.

Posted payment details and category amounts cannot be overwritten. Correction history remains available with the original record. Copying creates a new draft; it does not copy the original bank match, posting or approval. Review its receipts separately.

A matched, reconciled purchase requires reconciliation correction first. A closed accounting period can also block the reversing entry. Follow the displayed error and keep the existing record until the correction succeeds; an unsuccessful correction does not partly void the purchase.
