# Match a bank transaction

Link a bank record to an existing invoice, bill, payment, or journal during reconciliation.

Canonical: https://demo.qixcount.com/help/banking/match-a-transaction

Who can do this: Owners, or people with *View reconciliations* and *Perform reconciliation*

Where: Banking, then Reconciliation

You'll need: An in-progress account reconciliation and an existing accounting record

Matching links a bank record to an existing accounting record.

## Accept a suggested match

1. Find the bank record in the reconciliation table.
2. In **Match**, select the link icon with the suggestion count.
3. Review **Suggested Matches**, including the record, date, reference, amount, and score.
4. Select **Accept** beside the correct record.

Deposits can suggest invoices and payments received. Withdrawals can suggest bills and payments made. Journal suggestions include posted, unreversed manual journals that moved money through this bank in the same direction and are not already matched. The amount compared is this bank's movement, rather than the journal total. Suggestions rank amount, date, payee, and reference; a high score does not replace checking the record.

Before accepting a journal suggestion, verify the original journal's account, posting status and amount. If you cannot confirm that it records the bank activity, leave it unmatched and contact your bookkeeper or support.

Suggestions exclude draft, paid, and void invoices and bills. Void invoices and bills and reversed journals cannot be matched at all. QixCount rejects duplicate matches, incompatible deposit/withdrawal directions, amounts beyond the remaining bank amount, and invoice or bill amounts beyond their remaining matchable balance. Payment and journal records can be matched to only one bank record.

## Search for an open invoice or bill

1. Select the search button on the bank row to open **Find & Match**.
2. Enter at least two characters from the document number or customer or vendor name. Search ignores letter case.
3. Select one or more matching records.
4. Review the selected total.
5. Select **Match Selected**.

Search lists open invoices and bills, not payments or journals.

## Continue without a match

If no correct suggestion appears, you can still compare the bank record with your statement and select its cleared checkbox. Use **Find & Match** above to look for an open invoice or bill. Contact your bookkeeper or support if the correct record still cannot be found.

## What happens next

The row shows **Matched** after acceptance. A single accepted match changes a pending bank record's status to cleared. Matching does not tick the statement-reconciliation checkbox or complete the reconciliation.

There is currently no remove-match control on this screen. Voiding or deleting the matched record, or reversing a matched journal, releases the match. The bank record shows as unmatched again; an automatically matched record returns for review. Reconciled records stay reconciled. A journal created by adding that bank record to the books stays linked as history. Contact your bookkeeper or support about an incorrect match. Continue with [Reconcile an account](https://demo.qixcount.com/help/banking/reconcile-an-account).

## Good to know

It does not record an invoice payment, pay a bill, or create a new journal. Use it when the accounting activity already exists.

Owners can match transactions. Other users need **View reconciliations** to open the list and **Perform reconciliation** to use the clearing screen. Start from an in-progress [account reconciliation](https://demo.qixcount.com/help/banking/reconcile-an-account).
